MEETING MINUTES
November 16, 2005

Other attendees: Representing the Town of Sundre, Mayor Roy Cummings; Jenn Smith & Nancy Petersen

President Bob McIntyre chaired the meeting and brought the meeting to order at 7:00 p.m.

Additions to Agenda:
- ATB requests VIC for upcoming Christmas party
- Santa’s Anonymous

Introductions were made of new attendee Jenn Smith from the ATB.

1) Minutes of last meeting: Bob McIntyre
Chamber Meeting Minutes of October 19th were read.
Motion to adopt the minutes as read by Jodi Orr; seconded by John Boulton; carried

2) Treasurer’s Report: Jim McAllister:
Motion to adopt the financial statement as read by Jim McAllister; seconded by Jodi Orr; carried

3) Comments from Town: Mayor Roy Cummings:
Request has been made from Prairie to Peaks for @$4500.00 (based on $2/capita) to assist in the hiring of a full-time Administrator to continue the efforts currently in place, by volunteers, to promote the tourism in the area. Town is looking for direction as to whether to support this request or not. Chamber member Ross Legg of Mountain Aire Lodge briefly described the workshop he attended today, with P2P, and his belief that the Town’s support would come back to Sundre 10 fold. John Boulton suggested that P2P do a presentation before the Chamber endorses their support - this would have to happen in January and December’s meeting will be the Christmas Party (Note: Town’s budget is being drafted and a preliminary will be prepared before the end of the year) Jim McAllister had a concern that the VIC could use these dollars (of which we have not requested, at this time).... Does the community support there or here? The Chamber is a member of P2P

4) Sundown in Sundre: Mayor Roy Cummings
Barb will be placing the signs on Thursday, November 17
Concerns were raised that Olds and Didsbury are also doing their event the same Friday - our date was investigated and instituted first. *) see note on the bottom

5) Twinning of Sundre with a Community in Japan: Mayor Roy Cummings
Letter to Lou Soppit agreeing to confirm the pursuit of this cultural partnership that will mostly benefit the schools, etc. (i.e. Rocky Mountain House offers Japanese as a 2nd language). The exchange is intended to be a cultural exchange and the decision of the partnership location is with the Japanese Consulate

6) 50th Anniversary: Mayor Roy Cummings
Plans are underway with the first celebration being January 1st with fireworks - as flyer stated in Town billings this month.

7) Super Sunday: Bob McIntyre
December 11, 2005 is the date.

8) Annual General Meeting March 9, 2006 was chosen for this meeting which there will need to be new officers to take the reigns of this committee as Bob and Jim will no longer head this.

9) Community Awards Banquet - April 8, 2006 - combining with the Volunteer Awards
We’d need to change the format/cost/venue etc. to accommodate both functions - not compatible as they reflect different elements.
Bob to discuss further with Marita Stermann, of Neighborhood Place, to report to next meeting.

10) Ice Wood and Fire: Bob McIntyre
An ultimatum given by Morton Burke was received and the “core committee” decided not to proceed with the event in Sundre. A ‘family’ geared event will be taking place at the Museum on the Long weekend of February.

11) ATB: Jodi Orr
Requesting the use of the VIC for their upcoming Christmas Party - Fee $15.00 date to be arranged with Jim McAllister.

12) Santa’s Anonymous: Bob McIntyre
The 2005 Coordinator is Tessa Erickson. $2,600.00 in Sundre Bucks were given out as part of the hampers with the value being 90 cents on the dollar (5% for the business it’s reimbursed at and 5% is the Chamber’s loss). Some lead time is required if these are to be part of this year’s program. Vice President Kirk Kluchka wanted to reiterate that the purchases for these hampers be made locally as much as possible.

13) Sundre Golf Course: Mayor Roy Cummings
The Mayor said that there are negotiations going on to try to resurrect the Golf Course which is Expected to go into receivership. Most present were concerned that somebody would try to flip the purchase of the facility by discharging the bank and selling it to someone else. Under the Society’s Bylaws the ownership of the facility would transfer to the Town if it was declared to be insolvent.

14)Next Meeting: Chamber Christmas Party: Bob McIntyre

Wednesday, December 14/05 at Rustler’s Bed & Breakfast 6:00 p.m.

Jodi, Jenn and Marie will make arrangements for finger foods and liquor to be present.
To participate in a ‘chinese gift exchange’ please bring a wrapped item - new or gently used and no longer required.
Bob to extend an invitation to the County and Town Councillors.
All Members and guests invited to attend.
There will be a ‘members’ draw for 3 coupons for the new Deerfoot Casino in Calgary

15) Sundre Flying Club
All Members are invited to attend the Sundre Flying Club’s Christmas party being held on
Nov. 26th, 2005 at the Sundre Motor Inn with cocktails at 5:30 and dinner 6:00 - $15.00/ & 1 wrapped gift/person.

Deadline for tickets is Monday Nov. 21, 2005.

*) Note from the Didsbury Chamber of Commerce: Didsbury doesn't do their "Country Christmas" (Midnight Madness) until the first Friday of December (Dec 2 this year, Dec 1 next year). Just Olds does their Midnight Madness the same night as Sundown in Sundre.
